Workflow builder

A visual workflow builder for client onboarding

A published workflow is built on a visual canvas of steps: forms, content screens, documents, decisions, a rule checker, identity checks, screening, company registry lookups, staff review, email, webhooks, external tasks, and more. Branching lives on the connections leaving a decision step, each with conditions on the data collected so far. Every change is versioned, previewed, and validated before it can be published.

  • A visual canvas: forms, documents, decisions, screening and more
  • Branch a run with conditions on the data already collected
  • Preview and version every change, publish only once it validates

What step types can I add to a workflow?

The canvas offers a form (User Task), a content screen, a document or a dossier of several documents, generate document, a decision, a rule checker, identity verification, sanctions and PEP screening, a company registry lookup, staff review, email, webhook, external task, call workflow, sign-in gate, create user, and an end step. Each one does one job, and a case moves from step to step along the connections you draw between them.

How does branching work in the workflow builder?

Branching lives on the connections leaving a Decision step, not on the step itself. Each connection carries its own conditions, checked against the data collected so far, and the run follows the first one whose conditions all match. A Decision shows the applicant nothing and spends nothing; it simply chooses which path the case continues along, based entirely on data already in hand.

Can a workflow block a case until someone reviews it?

A rule checker evaluates the rules you write against everything the case has collected and raises one compliance finding for each rule that fires. A finding blocks the case from being cleared until a member of staff adjudicates it. On a form, cross-field rules work at the point of submission instead: an error rule blocks the applicant from submitting, and a warning rule asks them to confirm before continuing.

Can one workflow run another workflow inside it?

Yes. A Call Workflow step runs another already-published workflow as a subprocess: the parent waits while it runs, data you map is passed in, and the child's own results are mapped back once it finishes. It is a way to reuse a shared block, an enrichment or a screening sequence, across more than one workflow instead of rebuilding it each time.

Can I test identity checks and screening without paying for them?

Sandbox providers let you run an entire workflow, including its identity verification and screening steps, without spending anything, so you can prove the flow works before switching a live workflow over to real providers. Every draft can also be previewed as if you were the applicant, and publishing checks the whole structure: a broken flow simply does not go live.

Can AI draft the workflow for me?

Describe the onboarding flow you want in plain language and the AI workflow builder proposes a plan, then drafts the steps for you to review, before you adjust anything on the canvas and publish it yourself. See the AI workflow builder page for how the chat, the plan and the review step work together in detail.

Frequently asked questions

What happens if I publish a broken workflow?

Publishing validates the whole structure first, and a workflow that fails validation, a missing default branch, an unbound step or a similar problem, simply does not publish until it is fixed.

Can I test screening and identity steps for free before going live?

Yes. Sandbox providers let you run the full workflow, screening and identity checks included, without spending anything, so you can confirm the flow works before pointing it at real providers.

What does a rule checker rule actually do?

It compares everything the case has collected against a rule you wrote, and raises a compliance finding whenever the rule fires. That finding blocks the case from being cleared until a member of staff reviews it.

Can I reuse the same block of steps in several workflows?

Yes, with a Call Workflow step. It runs another published workflow as a subprocess, the parent waits for it, and data is mapped in and the result mapped back once the subprocess finishes.

Is every change to a workflow saved and reversible?

Every change is versioned, and you can preview a draft before publishing it. Publishing itself only succeeds once the whole structure validates, so a broken change never reaches applicants.
