For insurance brokers
Client onboarding software for insurance brokers
Send new clients one link instead of a stack of forms. They fill the needs-analysis questionnaire, upload an ID, and sign the mandate and IDD disclosure on their phone. You get structured answers and the sealed documents in one place, ready for the client file.
- One link replaces the paper client file
- Mandate, GDPR consent and IDD ack signed in one sitting
- Structured answers land in your systems automatically
What does the client actually do?
The client opens the link you send by email or text, on their phone or a computer. A guided form walks them through the needs-analysis questionnaire, one question at a time, in plain language. They upload a photo of their ID, tick the GDPR consent and the IDD pre-contract acknowledgement, and sign the brokerage mandate at the end. Nothing to print, scan or post back. The whole sitting fits inside one visit, and they can pick it up later if they get interrupted.
What do you get back?
Every answer arrives as structured data, not a scanned PDF you have to retype. The mandate, the IDD acknowledgement and the GDPR consent come back filled from the same answers, signed and sealed with an evidence page. Delivery happens by webhook, REST or email, so the file lands wherever you already keep client records. You review the whole case in one screen instead of chasing attachments across your inbox.
Which documents does this replace?
A single flow fills and seals the documents a new client file already needs, all from one set of answers the client gives once, on their phone. Instead of chasing a mandate signature in one email and a GDPR consent form in another, everything arrives together: the needs-analysis answers, the ID upload, and the signed pack ready to file, with nothing left half completed in a separate inbox.
- Broker mandate / brokerage agreement
- GDPR consent
- ID copy
- Needs-analysis questionnaire
- IDD pre-contract information acknowledgement
Do I need the compliance steps as an insurance broker?
Insurance brokerage is not an AML-obliged activity in most EU states, so identity verification and sanctions screening are optional here, not a requirement you have to justify skipping. Add a KYC step if a specific product or country makes it worth it. Most brokerages run the flow with just the form, the ID upload and the signature, and add compliance steps later only if a carrier or regulator asks for one.
How does the PDF I already use become the form?
Upload the mandate or needs-analysis PDF you already use. Braigest detects every field, in whatever language it is written, and turns it into a guided form the client fills on their phone. You are not rebuilding a form from scratch or hiring someone to redesign your intake paperwork. The layout and wording of your existing document carry through, so the file you get back still looks like the one your carriers expect.
Which plan fits a brokerage of my size?
A solo broker or agent runs the intake and signing flow on Solo, at €29 a month. A small office with a few advisors and more than one product line fits Practice, at €149 a month, which adds the AI builder to draft new flows from a description. A multi-branch brokerage or a network of appointed representatives fits Firm, at €499 a month. All three tiers run the same onboarding flow; the difference is scale and how much you build yourself.
Frequently asked questions
Can my clients fill this out on their phone?
Yes. The form is built for a phone screen first, one question at a time, and clients can start on one device and finish on another using the link you sent them.
Is the e-signature legally valid in the EU?
It is an advanced electronic signature with a PAdES seal and an evidence page. That is valid for private-law documents such as a brokerage mandate under eIDAS. It does not reach the top eIDAS signature tier, which needs a certified signing device, so documents your national law reserves for that tier are out of scope.
Do I need KYC or AML screening as an insurance broker?
Not in most EU states. Insurance brokerage generally falls outside the AML-obliged sectors, so identity verification and screening are optional add-ons here, not a missing requirement. Add a KYC step only if a specific product, country or carrier asks for one.
Can I reuse the mandate template I already have?
Yes. Upload the PDF you use today and Braigest detects its fields automatically, so the same document design becomes a form your clients fill on their phone, with the layout and wording your carriers already expect.
How does the signed file reach my agency management system?
By webhook, REST or email, whichever your system already accepts. The signed and sealed pack, plus the structured answers, is delivered as soon as the client finishes, so nothing sits in an export queue waiting to be pulled across manually.
