For accountants & accounting firms

Client onboarding software for accountants

Send a new client one link instead of an engagement letter emailed back and forth. They fill the AML client-acceptance questionnaire, declare the beneficial owner, upload an ID, and sign the engagement letter on their phone. You get verified data and the signed pack ready for the file, with identity and screening built in.

  • One link replaces the client-acceptance paperwork
  • KYC and UBO declaration built into the same flow
  • Engagement letter signed and sealed automatically

What does the client actually do?

The client opens the link on their phone or a computer. A guided form collects the AML client-acceptance details and the beneficial-owner declaration, one question at a time. They upload a photo ID and, if the flow calls for it, verify their identity against it. They read the GDPR notice, sign the engagement letter, and, where a tax portal needs one, grant power of attorney. The whole intake fits in one sitting, and nothing has to be printed or posted.

What do you get back?

Structured client-acceptance data, not a scanned form to retype. The engagement letter, the UBO declaration and the GDPR notice come back filled from the same answers, signed and sealed with an evidence page recording consent, device and identity method. Delivery is by webhook, REST or email into your practice management system. Every case is reviewable in one screen, including any identity or screening result attached to it.

Which documents does this replace?

A new accounting client typically means the same paperwork collected several different ways: an emailed engagement letter, a paper AML questionnaire, an ID copy and a UBO form filed separately. Braigest fills and seals all of it from one set of answers the client gives once, on their phone, and the pack comes back complete without a second round of emails.

  • Engagement letter
  • AML client-acceptance / KYC questionnaire, with ID copy
  • Beneficial-owner (UBO) declaration
  • GDPR notice
  • Power of attorney for tax portals / e-invoicing

Do I need the compliance steps as an accountant?

Yes. Accountants and accounting firms are AML-obliged entities under EU rules, so client due diligence is not optional the way it is for some other segments. Braigest supports identity verification through Didit or Onfido, sanctions and PEP screening through Dilisense, and an automatic risk score, all as steps in the same intake flow. Flagged clients route to a review queue instead of a scanned form sitting in a folder waiting for someone to check it by hand.

How does the PDF I already use become the form?

Upload the engagement letter or client-acceptance questionnaire you already use, in whatever language it is written. Braigest detects every field and turns the document into a guided form your client fills on their phone. You keep the wording your firm already relies on and the layout your file expects, without rebuilding it or briefing a developer to copy it into a new tool.

Which plan fits a firm of my size?

A sole practitioner runs client acceptance and signing on Solo, at €29 a month. A small firm with more clients and a need to add screening or draft new intake flows fits Practice, at €149 a month, which includes the AI builder. A multi-partner firm or a firm with several offices fits Firm, at €499 a month. The onboarding and compliance steps are the same across tiers; scale and how much you configure yourself change.

Frequently asked questions

Can clients complete AML due diligence on their phone?

Yes. The client-acceptance questionnaire, UBO declaration and ID upload are all built for a phone screen, and identity verification runs inline if your firm turns it on, with everything captured before the first meeting.

Is the e-signature on the engagement letter legally valid?

It is an advanced electronic signature with a PAdES seal and an evidence page. That is valid for private-law documents such as an engagement letter under eIDAS. It does not reach the top eIDAS signature tier, which needs a certified signing device, so documents your national law reserves for that tier are out of scope.

Do accountants need AML screening for every client?

Accountants are AML-obliged entities in the EU, so client due diligence generally applies. Braigest runs identity verification and sanctions and PEP screening as configurable steps, so you can match the checks to your risk policy.

Can I reuse our existing engagement letter template?

Yes. Upload the PDF you use today and Braigest detects its fields automatically, so the same wording and layout becomes a form your client fills on their phone, without a redesign project.

How does the signed pack reach our practice management system?

By webhook, REST or email, matching whatever your system accepts. The signed engagement letter, UBO declaration and structured client data are delivered as soon as the client finishes, ready to open the file.
