Switch From Jotform, Typeform and DocuSign to One Link

If your intake already runs on a Jotform or Typeform form and the contract goes out through DocuSign or gets printed and posted, moving to one link is a smaller job than it sounds. This guide walks through the migration step by step, so you can run it in a week without disrupting the clients already mid-onboarding.

  • Export your existing questions before building anything new
  • Upload the contract PDF itself instead of rebuilding it
  • Keep the old form live for a week during the switch

Step 1: export your existing questions

Before building anything, pull the full list of questions from your current Jotform or Typeform form, including any conditional logic, a question that only shows for a business client, for instance. Most form tools let you export a summary or a CSV of the fields. This becomes your checklist: every question your current form asks needs a home in the new flow, either as a form field or as something a document or identity step already collects, so nothing a client used to answer quietly disappears.

Step 2: upload the contract PDF instead of rebuilding it

Rather than recreating your contract or engagement letter as a set of form fields, upload the actual PDF you send today through DocuSign or by email. Field detection reads the document and proposes which parts are fillable, a name, an address, a signature block, and you review what it found before anything goes live. This step usually takes less time than manually rebuilding the same document as a form, and it keeps the exact wording and layout your file already expects, instead of a redesigned version that looks slightly different from what clients are used to.

Step 3: map your exported questions to fields

Working from the checklist you exported in step one, add any question that is not already covered by the document's detected fields as a step in the new form. This is also the point to decide whether a question the old form asked is still needed at all. A form built years ago on a general tool often carries a question or two nobody has looked at since, and switching is a natural moment to drop it rather than carry it forward unexamined.

Step 4: add identity or screening if your firm needs it

If your intake is for a profession with AML duties, or you simply want to confirm who is on the other end of a contract, this is where an identity check or sanctions screening step goes, placed wherever in the flow makes sense, at the start to qualify the client early, or just before signing. This step did not exist in the old Jotform-plus-DocuSign setup at all, since neither tool runs identity verification, so it is a genuine addition rather than a like-for-like replacement of something you had before.

Step 5: publish one link and test it yourself

Once the form, documents and any identity step are in place, run through the whole flow yourself as if you were a client, on a phone as well as a computer, before sending the link to anyone real. Check that the signed pack that comes out the other end contains what you expect, and that the data delivered to wherever you send it, by webhook, REST or email, matches the fields your practice management or CRM system is expecting to receive.

Step 6: keep the old form live for a week

Do not switch off Jotform or Typeform the moment the new link works. Run both in parallel for a week or two, sending new inquiries to the new link while any client already partway through the old process finishes there, then retire the old form once nobody is actively using it. This avoids the two failure modes of switching all at once: a client stuck mid-form on a tool you have just turned off, and a rushed first week where you are debugging the new flow on real clients instead of on yourself.

Frequently asked questions

Do I have to rebuild my contract as a form from scratch?

No. Upload the PDF you already send through DocuSign or by email, and field detection proposes which parts are fillable for you to review, rather than rebuilding the document by hand.

Can I keep using Jotform or Typeform while I migrate?

Yes, and it is worth doing. Run both in parallel for a week or two so no client mid-onboarding is disrupted, then retire the old form once it is no longer needed.

Does switching require losing my Zapier automation?

Not necessarily. Braigest delivers case data by webhook, REST or email, so you can point it at the same downstream system a Zapier connection used to feed, without keeping three separate tools.

How long does a typical migration like this take?

For a single form and contract, exporting questions, uploading the PDF and mapping fields is usually a matter of days, not weeks, especially on a call where we build it with you.
